NRG Oncology Demographic Data Initiative

To better understand our membership, NRG Oncology is creating a membership database that will contain demographic information for our members and staff. The self-reported information you provide will be stored securely and only accessed by authorized NRG Oncology personnel. We are asking all members to participate even if your participation is to elect to opt-out entirely after reporting your name and contact information. If you elect to provide your demographic information, the form will take you less than 3 minutes. Most questions include a “prefer not to answer” option.

General Questions

Why are we conducting this survey?

We are committed to promoting diversity, equity, and inclusion within NRG. By gathering detailed demographic information, we can gain insights into the makeup of our membership, identify areas for improvement, and ensure our programs and services reflect our diverse community. NRG collects data regarding publications, committee membership, and institutional membership. We want to better answer questions such as:

- How many members practice in a community setting?

- How many of our new and early career investigators are involved in NRG studies?

- What is the demographic composition of our committee leadership?

What types of questions are included in the form?

The member demographic form is modeled after the NCI Diversity Survey that was launched in 2023. NCI’s Equity and Inclusion Program created a thoughtful and brief survey to collect demographic and professional attributes for individuals currently in clinical trial leadership roles within NCTN, NCORP, and NCI Scientific Steering Committees. In addition to the questions formed by the NCI, our form includes some basic identifiers such as name, email address, CTEP ID, and institution.

How long will it take me to complete the form? 

There are 18 questions on the form that cover various demographic aspects such as race, ethnicity, gender, age, professional interests, and practice settings. Please allow approximately 2-3 minutes to complete the entire form.

How is this different from the Climate Survey conducted last year?

The Climate Survey collected aggregated data without any identifying information to gauge the overall environment within our organization. Sensitive information was collected about the climate of our organization, such as feelings of inclusion and opportunities for advancement. We asked demographic questions, though responses from the survey were not tied to one individual. The NRG Member Database, however, focuses on collecting identifiable data to create a detailed member database, helping us better understand our members and track our changes over time. Data from the Climate Survey cannot be linked to this database.

How do I know if I am a member of NRG?

Members include those rostered at NRG Parent Institutions, NRG Affiliate institutions, satellite sites, a fellow/resident of an NRG Institution, an NRG Patient Advocate, or NRG Staff Member. Unsure if you are a member and want to find out? Please contact: membership@nrgoncology.org.

Who may participate in this survey?

All who participate in and contribute to the work done at NRG can participate. We encourage members to complete the form (whether opting in or out). Members include those rostered at NRG Parent Institutions, NRG Affiliate institutions, satellite sites, fellows/residents at an NRG Institution, NRG patient advocates, and NRG staff members. This includes investigators, clinical research professionals, nurses, data managers, committee members, and NRG staff.

Is participation mandatory?

Entering your demographic information is voluntary. The first question will ask if you consent to completing the form. Answering “No” is a valid way to complete the form. If you do opt to enter your demographic information, we have included a “prefer not to answer” option for most questions.

Who will enter my data?

You will enter your own data wherever possible. In cases where data validation or additional documentation is required, our Membership Team may assist.

Privacy and Security

How will my data be used?

Your data will be used to enhance our understanding of the NRG membership, support DEI initiatives, and improve our programs and services. Sensitive data will be securely stored and accessible only by authorized personnel.

Who can see my data?

Access to sensitive data is restricted to authorized personnel in the NRG Statistics and Data Management Center and the Membership Department. All reported data will be de-identified and used in aggregate form to protect the privacy of our members. General member information such as name, institution affiliation, committee membership, and committee roles may be visible to other logged-in NRG members, but sensitive data such as race, ethnicity, and gender identity will be kept confidential and only visible to you.

What privacy measures are in place?

We prioritize your privacy and have implemented strict data protection measures. Each user will be assigned an anonymous ID, and sensitive data will be stored separately with rigorous access controls. The form will not share data with third-party software or platforms.
